Which events, conditions and actions can I use in workflows?

In a workflow you choose an event, optionally add conditions and decide which actions are carried out. Below you can see all possibilities. You can read how to create a workflow in How do I create a workflow?.

Events

The event determines when the workflow starts.

Event

Starts as soon as…

Payment paid

a payment has succeeded.

Payment failed

a payment has failed.

Order paid

an order has been paid.

Customer created

a new customer has been created.

Subscription (Advanced) activated

an Advanced subscription has been activated.

Subscription (Advanced) paused

an Advanced subscription has been paused.

Subscription (Advanced) cancelled

an Advanced subscription has been cancelled.

Subscription (Advanced) completed

an Advanced subscription has been completed.

Follow-up created

a follow-up has been created.

Follow-up failed

a follow-up has failed.

Conditions

With conditions you make sure a workflow only runs in specific situations. Which fields you can use depends on the event. If you add multiple conditions, all of them must be met. Without conditions the workflow runs for every event.

Event

Fields for conditions

Payment paid, Payment failed

Amount, Payment method, Description (payment), Customer labels

Order paid

Amount, Description (payment link), Products, Customer labels

Customer created

Name (customer), Email, Country, Customer labels

All subscription events

Description (subscription), Amount, Customer labels

Follow-up created, Follow-up failed

Amount, Description (follow-up), Customer labels

Operators

The operators you can choose depend on the field:

Field

Operators

Amount

Equals, Not equals, Greater than, Less than

Description, name and email

Equals, Not equals, Contains, Does not contain

Payment method and country

Equals, Not equals

Customer labels and products

Contains, Does not contain

For “Customer labels” the workflow looks at the labels the customer has at that moment, even if an earlier workflow has just assigned or removed a label.

Actions

A workflow has at least one action. Multiple actions run from top to bottom.

Action

What happens?

Assign label(s) to customer

The chosen labels are added to the customer.

Remove label(s) from customer

The chosen labels are removed from the customer.

Remove all labels from customer

All labels of the customer are removed.

Send e-mail

The customer receives the chosen email template, in their own language if the template has a translation. In the template you can use {name}, {desc}, {amount} and {organization}.

You create labels under Settings > Labels. You create an email template under Settings > Templates.
